Document #554, Using One-button Synchronization
For organizations that use GoldSync for synchronization, GoldMine Business Contact Manager v5.7 offers the new One-button method for remote, undocked users. When One-button synchronization is enabled in the remote GoldMine system, the user enjoys a simple, single-step process to synchronize. Because the remote user cannot modify any of his synchronization settings, the organization increases data security and enhances control of information access for each synchronizing remote system. To set up One-button synchronization, the GoldSync administrator must:
Create a synchronization profile for each remote system that
will run One-button synchronization
Create either:
Undocked installer that installs GoldMine on the remote system with the
One-button synchronization profile (new GoldMine user)
or
E-mail with the One-button synchronization profile
attached (existing GoldMine user)
Functionality
The Undocked Installer feature allows a GoldSync 5.7 administrator to easily create a self-extracting, installation package, which contains the following:
GoldSync administrators control what data is included in the Undocked Installer package. In addition, the GoldSync administrator defines the synchronization settings, or profile, that the remote site will use when synchronizing with the GoldSync server. The GoldSync administrator may also choose to remove access to the Synchronization Wizard on the remote site to prevent the remote GoldMine BCM user from changing those settings.
NOTE: GoldSync can create a maximum of five[1] (5) installer packages simultaneously. If an administrator chooses to create more than five installer packages at a time, GoldSync will automatically queue the creation of any installer packages beyond the first five. GoldSync will process the additional installer packages only when resources become available, based on the completion of one or more of the initial five installer packages.
Once GoldSync finishes building the installer package, the GoldSync administrator may distribute the file to the remote site by any of the following methods:
After the remote user receives the Undocked Installer package, all they need to do to install GoldMine BCM is run the installer itself, which is named <gmusername>.exe for the corresponding remote/undocked user.
The Undocked Installer package will install GoldMine BCM with the base data and files selected by the GoldSync administrator, as well as set up the configured synchronization profile and insert the undocked user license.
When the <gmusername>.exe file is executed on the remote system, the Undocked Installer package will extract all the necessary files to the folder defined by the system’s Windows TEMP variable, usually C:\Windows\Temp. After all the files are extracted, the Undocked Installer will automatically launch the GoldMine BCM installer to install GoldMine BCM and automatically import the data.
On systems with limited resources and/or processing power, users will experience a slight lapse in time after the extraction of the necessary files and the launching of the GoldMine BCM installer. Further user intervention during this lapse is not required to launch the GoldMine BCM installer.
The GM5SETUP.EXE file is the installation file for GoldMine BCM. The Undocked Installer feature uses this file to create the installer package used by the undocked user to install GoldMine BCM.
By default, the Undocked Installer feature will look for this file in the \GoldMine\Setup\GoldMine folder. If the file is not found, GoldMine BCM will prompt the administrator to provide the location of the GM5SETUP.EXE file before building the installer package.
Upgrade installations of GoldMine BCM may be installed on systems that already contain an older copy of the GM5SETUP.EXE file in the \GoldMine\Setup\GoldMine folder. It is important to verify that this copy of the GM5SETUP.EXE file is the same as the one located on the GoldMine BCM installation CD because the Undocked Installer feature relies on the CD copy of the file in order to function properly.
In order to ensure that the proper copy of this file is being used, copy the GM5SETUP.EXE from the installation CD to the \GoldMine\Setup\GoldMine folder, by following the instructions below:
Click Yes to overwrite if prompted.
When using the Undocked Installer feature, administrators must apply File Codes to the Contact Set(s) containing data that will be included in the Undocked Installer package.
File Codes are values used to differentiate the separate Contact Sets for a GoldMine BCM/GoldSync implementation that synchronizes multiple Contact Sets.
The Undocked Installer feature requires administrators to enter File Codes, even if only one Contact Set will be used. The File Codes entry is necessary for the proper retrieval of any Linked Documents that may have been included in the installation package for the remote/undocked user.
Please read this section in its entirety as it contains important information on the tasks administrators must perform prior to the creation of the Undocked Installer File.
Administrators must specify a File Code for any Contact Set containing data that they wish to include as part of the base GoldMine BCM data of an undocked installer package. Administrators that do not include this entry will prevent the remote system getting the updated location information/settings for the synchronization of Linked documents in that Contact Set, when the Undocked Installer package is run initially. The remote/undocked user will then be unable to launch any of the Linked documents, which were included in the Undocked Installer, from within GoldMine BCM.
File Codes are identifiers used to differentiate one Contact Set from the next in a GoldMine BCM system that uses multiple Contact Sets. In order to define a File Code, in GoldMine BCM select File>>Open Database>> Properties. The Contact Set Profile window will appear as follows:

The File Code field circled in the previous image is used to input the desired File Code identifier for the selected Contact Set. This field can contain up to 10 alphanumeric values.
After the File Code is defined in the Contact Set Profile window, the GoldSync administrator must also ensure that the GoldSync Site Group and any previously defined One-button Sync Profiles are properly updated to include the Contact Set.
To set up One-button synchronization for a remote user with an undocked license, the GoldSync administrator must:
1. Create a synchronization profile—see “Creating a Synchronization Profile” below.
2.
Either:
Generate a file that
installs GoldMine on the remote system with the One-button synchronization
profile included (new GoldMine user)—see “Creating an Installation File for an
Undocked User”
or
Send an e-mail with the One-button synchronization profile attached (existing GoldMine user)—see “E-mailing a Synchronization Profile to an Undocked User”
Before you can create a One-button synchronization profile, you must:
To add the user to the selected GoldSync site:
You can create files for a selected undocked user that automatically install GoldMine with a One-button synchronization profile. This process also creates a transfer set according to the specifications defined in the user’s synchronization profile. You must create a synchronization profile for the user before you can create the installation file.
To create an installation file:
Note:
You can only create installation files for users with previously defined
One-button synchronization profiles. You can process up to five undocked sites
simultaneously. If more than five sites must be processed, GoldSync will queue
the additional sites until resources are available.
The GoldMine Process Monitor shows the progress of the file creation process. For each selected user, GoldMine creates installation files and an initial transfer set, based on profile settings.
Note: Creating the transfer set(s) can be a time-consuming process.
You can create a synchronization profile for an undocked user who is already running GoldMine to enable that user to perform One-button Sync with GoldSync Server. Once created, you can send the profile as an attachment to Internet e-mail. To send a synchronization profile to a remote user via e-mail:
Undocked remote users can use a simple, one-step process to synchronize called One-button synchronization. To use One-button synchronization, a remote user must:
Set up GoldMine to synchronize by the One-button profile
Run the One-button synchronization option
An undocked, remote user can synchronize using the One-button method if the user has either:
Installed GoldMine with a special One-button synchronization profile
or
Retrieved the One-button synchronization profile by e-mail To run GoldMine’s One-button synchronization:
The GoldMine Process Monitor appears to detail the synchronization process.
[1] For systems with limited resources, the number of installer packages that can be created simultaneously may be reduced using the MaxProcs=<number> setting in the [Installer] section of the GoldSync.INI file.
