Software Supported by the Add-in Link

The GoldMine Add-in Link to Word supports the applications listed below:

Microsoft Word 97 with Service Release 1 (SR-1) or Service Release 2 (SR-2) installed

Microsoft Word 2000, Microsoft Word 2002 (Word XP)

WinFax: This link has only been tested to work with United States WinFax Version 9.0. Previous versions of WinFax may work but are not officially supported.

RightFax: This link has only been tested to work with United States RightFax Version 5.0 and greater.  Previous versions of RightFax are not supported.

FaxRush: This link has only been tested to work with United States FaxRush Version 4.5. Previous versions of FaxRush are not supported.

The add-in will not work with versions of Word prior to Word 97 SR 1. Technical support for Word is available at 425.462.9673 from Microsoft.

FrontRange Solutions recommends using the GoldMine Link Installer to install or uninstall the GoldMine link to Word.

Using the Word Link Installer Wizard

The Word Link Installer Wizard (GMLinkInstaller.exe) will install the GoldMine Word Link (GMLINK) Add-In.  It can be downloaded from the following website:

There are three options on the main dialog box for the Wizard:

Install/Update GoldMine Link to Word 97/2000/2002(XP) – This will extract and install the GoldMine Link Add-In for Word. If the link was previously installed, an update will be performed. The Wizard can only install the link with Word closed.

Extract GMLINK.DOT to install/update at a later time – This extracts the GMLINK.DOT file to a folder that you specify. This option should only be selected when manual installation of the GoldMine Link Add-In for Word will be performed.

Remove the currently installed GoldMine Link to Word – This will un-install the GoldMine Link Add-In for Word (GMLINK.DOT) completely.

 

Follow the steps below to install the link using the installer:

1. Start GoldMine and close Microsoft Word.

2. Run the GMLinkInstaller.exe  

3. If the link was previously installed, select the option to ‘Remove the currently installed GoldMine Link to Word’ and click Next.    If not, go to step 7.

4. Put checks on all three remove options and click Next again.

5. Click Finish to complete the removal and close the Remove Word Link dialog box.

6.  Run the GMLinkInstaller.exe file again.

7. Select the ‘Install/Update...’ Option, Click Next.

8. Click Finish.  The GMLinkInstaller will then open Word with a GoldMine Link dialog box.

9. Select the language.  Click OK.  An Information dialog box will then open.  Click OK.

10. This puts you on the GoldMine Link Preferences Box.  Select your preferences following the steps below.

GoldMine Link Preferences

  

1.       The Information button will display the details on the GoldMine Word Link add-in.

2.       Un-check the Delete merge DBF when done checkbox to keep the temporary dBase file that is created for a group merge print from GoldMine.

3.       By selecting the Always Auto Refresh Field List checkbox, Word will automatically update the list of GoldMine fields available for the link.

4.       The Prompt for group merge destination (print only) option allows for changes to be made to the document destination prior to printing a group merge.

5.       Enter the correct Field Switches for use with localized versions of Word. The default settings should be acceptable to English, French, and German versions of Word.

6.       Select the correct Faxing application from the drop down list.  Or select (none) if not using a specific faxing application.

7.       For detailed information on fax options, click this Information button.

8.       Select the macro for dialing from the drop down list. The &Fax macro is suitable for most dialing situations.

9.       Un-check the Show Send Screen to skip displaying the status screen when faxing.

10.   Un-check the Use 'Fine' resolution option to use draft resolution when faxing.

Click on the Save Preferences button to save your changes and close the dialog box. The Close button will prompt you to save your changes before closing the dialog box.

Using GoldMine’s Add-in Link to Word

With the Add-in link installed, custom correspondence can be printed for one, some, or all of the contacts. The link can be used to print or fax letters and memos, create envelopes, and/or mailing labels for the contact set in GoldMine.

Creating a Template

A simple template can be created with the following steps.

1.       Open GoldMine then open Word.

2.       In Word, select File>>New to open the New document dialog box. Then select the Template radio button and click the OK button.

3.       Select GoldMine>>Insert GoldMine Field to activate the Insert GoldMine Field dialog box. This dialog will remain on top until it is closed.

4.       From the drop down, select &NameAddress to insert the contacts name and address.

5.       Blanks can be added by pressing the Enter key at any time.

6.       Add a salutation line, type Dear positioning the cursor where the salutation is to start and then select CONTACT1->Dear from the listed fields in the Insert GoldMine Field dialog box.

7.       Complete the letter by typing in the remaining text.

8.       Select GoldMine>>Save as GoldMine Form when the letter is completed.

9.       Type a descriptive Title for the form since this will be how the template is listed in the GoldMine Document Management Center.

10.   Type in the letter’s Subject then select OK to complete this step. Optional entries for the Keywords and Comments can also be added; Author will default to the Word user.

11.   The file format will default to Document Template (*.dot) with the filename defaulting to the Title from the Summary Info dialog box.

12.    Click on the Save button to complete the template.

13.    The template will then show up in GoldMine in the Document Management Center Edit|Custom Templates under the Letters, Memos, and Faxes section.   Make sure your username is selected in upper left hand corner.

Troubleshooting GoldMine’s Add-In Link To Word

Removing GoldMine 95 and GoldMine 4.x Links from Word

Prior to installing the current add-in link, older links to Word from GoldMine will need to be un-installed. The Word Link Installer Wizard will update older versions of the add-in link that are installed.

Un-installing the Link Automatically

If you upgraded from GoldMine 95, the link file is GM95W97.DOC, for GoldMine 4.x, the link file is GM4W8.DOC. Both files can be found on the following website:

Open the link file for the version of GoldMine you are updating from in Word and click on the Uninstall Link button to automatically un-install the link from Word.

Manually Un-installing the Link

Versions of the link that are not the Word Link Add-in can be manually un-installed using the following steps.

For Windows 9x and NT 4

1.       Close Word if it is open.

2.       Select Start>>Find>>Files or Folders… to open the Find: All Files dialog box.

3.       Select the drive that Word is installed on from the Look in: drop down if it is not already there.

4.       Type Normal.dot in the Named: box and click on the Find Now button.

5.       Right click on each instance that is found for the Normal.dot and choose Rename from the popup menu. Type Normal.old1 for the first one and hit the Enter key to apply the change. Increment the number by 1 for each file name that you change in this fashion. Repeat as needed until all of the Normal.dot files have been changed.

6.       Open Word and then exit the application to complete the process. Word will recreate the default Normal.dot.

For Windows ME and Windows 2000

1.       Close Word if it is open.

2.       Select Start>>Search>>For Files or Folders… to open the Search dialog box.

3.       Type Normal.dot in the Named: box and click on the Search Now button.

4.       Right click on each instance that is found for the Normal.dot and choose Rename from the popup menu. Type Normal.old1 for the first one and hit the Enter key to apply the change. Increment the number by 1 for each file name that you change in this fashion. Repeat as needed until all of the Normal.dot files have been changed.

5.       Open Word and then exit the application to complete the process. Word will recreate the default Normal.dot.

Un-installing the Add-in Link from Word

In Word, select GoldMine>>Uninstall GoldMine Link to remove the link.

Manually Un-installing the Add-in Link

Manually uninstalling the add-in link to Word involves using the Windows Registry Editor.

Warning: Incorrect usage of the Registry Editor can cause serious problems that may require reinstallation of Windows. FrontRange Solutions Technical Support cannot guarantee that problems resulting from the incorrect usage of the Registry Editor can be solved. Use of the Registry Editor is at your own risk and is not supported by FrontRange Solutions Technical Support. An understanding of how to restore the Windows system registry if a problem occurs after editing it is required. For information on how to do this, select Help>>Help Topics in the Registry Editor and select the ‘Restoring the Registry’ topic. For more information on editing the registry, view the ‘Changing Keys And Values’ online Help topic in the Registry Editor (Regedit.exe). The Registry Editor is an advanced tool for changing settings in the system registry, which contains information about how the computer runs. Generally, it is best to allow Windows programs to modify the system registry, and to avoid making changes using the Registry Editor.

The following steps will manually remove the link:

Editing the Windows Registry

1.       Close all instances of Word.

2.       Select Start>>Run and type in REGEDIT then click on the OK button to start the Registry Editor.

3.       Select HKEY_CURRENT_USER\Software\VB and VBAProgram Settings\GoldMineLink, then right click and select Delete from the popup menu. When prompted, answer Yes to confirm the deletion of the registry key.

4.       Select HKEY_CURRENT_USER\Software\Microsoft\Word\GMLinkVersion, then right click and select Delete from the popup menu. When prompted, answer Yes to confirm the deletion of the registry key.

5.       Exit the Registry Editor.

For Windows 9x and NT 4

1.       Select Start>>Find>>Files or Folders… to open the Find: All Files dialog box.

2.       Select the drive that Word is installed on from the Look in: drop down if it is not already there.

3.       Type GMLink.dot in the Named: box and click on the Find Now button.

4.       Right click on each instance that is found in the \Microsoft\Word\STARTUP folder for the GMLink.dot and choose Delete from the popup menu. If prompted, answer Yes to confirm the deletion.

For Windows ME and Windows 2000

1.       Select Start>>Search>>Files or Folders… to open the Search dialog box.

2.       Type GMLink.dot in the Named: box and click on the Search Now button.

3.       Right click on each instance that is found in the \Microsoft\Word\STARTUP folder for the GMLink.dot and choose Delete from the popup menu. If prompted, answer Yes to confirm the deletion.

Completing the Un-install

1.       In Word select Tools>>Templates and Add-ins and remove any references to the GMLink.DOT.

2.       Click on the Ok button and then exit Word to complete the process.

 

Manually Installing the Add-in Link to Word

In some instances, it becomes necessary to manually install the Link to Word rather than using the GoldMine Link Installer.  In these instances, Macro security will need to be set to medium or low, and any Anti-Virus programs should be disabled. 

Macro Security in Word 2000

By default, Macro Security in Word 2000 is set to High. This will prevent the macros in the GMLink.dot from functioning properly during installation.

1.       Select Tools>>Macro>>Security to access the Macro Security dialog box.

2.       Select the Medium (or Low) setting, and then select Ok to update the setting.

This setting in Word does not need to be changed in order to install the link if the Word Link Installer Wizard is used.

Anti-Virus Programs

Anti-virus programs can also prevent the link from functioning properly during installation. To avoid possible conflicts, it is recommended that the anti-virus program be disabled or shut-off entirely during the installation of the link.

Installing the Add-in

GoldMine will automatically install the Word Link Add-in the first time a merge print action is performed with Word. The link can also be manually installed using the following steps.

Manual Installation

1.       Start GoldMine and then start Word. Make sure that only one copy of Word is active before proceeding.

2.       In Word, select File>>Open to bring up the Open dialog box.

3.       Change the Look in: to the GoldMine folder and the Files of type: to Document Templates (*.dot).

4.       Select the GMLink.dot file and click on the Open button.

5.       If prompted by Word, select Enable Macros and then select Install to install the Add-in. If you do not receive either of these prompts, then see the section on Macro Security in Word 2000.

6.       Select the language you wish to use from the drop down list.

7.       The GoldMine Link Preferences dialog will appear when the Add-in link is installed.

8.       The GoldMine Link Info… dialog will appear when the link is successfully installed. 

Updating Custom Templates created with Previous Links to Word

GoldMine 4.x Templates

Custom templates created with the GoldMine 4.x Link to Word are compatible with the current add in link to Word and do not require updating.

GoldMine 95 Templates

To update existing templates created with the GoldMine 95 Link to Word, complete the following steps for each template in GoldMine 5.x or higher.

1.       In GoldMine, select Edit>>Custom Templates to access the Document Management Center.

2.       Select the template you wish to update, right click on it and choose Properties from the popup menu.

3.       Click on the Edit button on the Template Properties dialog box to open the template in Word.

4.       Any needed changes or updates can be made to the template now.

5.       To update the template, select GoldMine>>Update GoldMine Form in Word.

6.       Exit Word to complete the process. If prompted by Word to save the document, select No. Any other action will corrupt the template.

The ODBC Drivers for Word

In order for a Group mail merge to function correctly, Word’s dBase ODBC drivers must be installed. This can be checked as follows:

1.       Select Tools>>Mail Merge to activate the Mail Merge Helper.

2.       Click on the Create button and select Form Letters, then choose New Main Document when prompted.

3.       Click on the Get Data button and select Open Data Source, this will open a Browse window.

4.       Pull down the drop down list for the Files of Type: box and scroll down the list. Verify that dBase Files (*.dbf) is listed.

5.       Click on the Cancel button to complete this check.

Installing the ODBC drivers for Word from the Office 97 CD-ROM

It may be necessary to install the dBase ODBC drivers if they are not listed. It is recommended that someone comfortable with software installations perform this, such as your network administrator or a FrontRange Solutions Authorized Solutions Partner.

1.       Run the Microsoft Office 97 setup from the CD-ROM. If the Auto-run feature does not function, then browse the CD-ROM with Windows Explorer and double click on Setup.exe to start the Office 97 Setup.

2.       Select the Add/Remove option.

3.       Then select Data Access from the components list and select Change Option.

4.       Next select Database Drivers and then select Change Option.

5.       Choose the dBase Drivers and then select Ok to complete the install.

Setting up an ODBC DSN in Windows

It has been noted that some versions of the Microsoft Office/Word installer may not properly install the dBase ODBC driver. On Windows NT Workstation or Windows 2000, the user performing this action must be a member of the Local Administrators group. An ODBC User DSN can be manually setup on each of the affected workstations to correct this with the following steps.

1.       Select Start>>Settings>>Control Panel and then double click on the ODBC Data Sources icon to open the ODBC Data Source Administrator. To access this with Windows 2000, open the Administrative Tools from the Control Panel and then double click on the Data Sources icon.

2.       Select the Drivers tab and confirm that the Microsoft dBase Driver is installed. If it not listed, run the Microsoft Office/Word setup to install it.

3.       Select the User DSN tab and click on the Add button to open the Create a New Data Source dialog box.
 

4.       Highlight the Microsoft dBase Driver and click on the finish button.

5.       Set the Data Source Name to dBase Files and click on the Ok button twice to complete the process.
