Importing Information Into GoldMine From Other Applications

There are several contact managers available on the market.  GoldMine's Import utility can be used to convert data from the other contact managers..

Aside from Symantec ACT!,  you can only import the main contact information (CONTACT1.DBF) and user defined fields (CONTACT2.DBF).  If you need to import any other information (i.e. pending activities,  history, profiles, etc), you can purchase a savvy third party import/export utility called GoldBox. Here are some common contact managers and instructions for importing their data into GoldMine

Symantec ACT !

GoldMine has predefined profiles for  ACT! 1.0 and 2.0 for Windows and ACT! 3.0 for Windows 95.   To import an ACT! database, choose Tools | Import Records in GoldMine.   Select the Import a new file using an existing profile option.   Select DBF as the file type to import.   Highlight the ACT 2.0 profile.   Browse for the ACT database to import.   Take note that if an ACT 3.0 database is being imported, ACT 3.0 must be running and the ACT! database that is being imported must be open in ACT!.   Click the Next button.   The Import ACT! Data window will be displayed.   GoldMine presents a choice to either automatically import the ACT! Database or manually map the fields from ACT! to GoldMine.   The advantage of letting GoldMine automatically import the data is that the primary contact information, notes, history and pending activities will be converted.   If the fields are manually mapped, GoldMine only imports the primary contact information.   In most cases, we suggest allowing GoldMine to automatically import the data.  GoldMine's Global Replace tool can be used to move data from one field to another should it be needed after the import (refer to page 263-275 in Volume 2 of the GoldMine Reference Manual).   Click the Next button and choose the appropriate options.  Click the Next button again.   Finally click the Finish button and the ACT! Database will be imported into GoldMine.

NetManage ECCO Professional

GoldMine has a predefined profile for ECCO Pro 3.0.   The ECCO Database must first be exported to a Comma Separated file with an extension of TXT.   In ECCO, this is accomplished by choosing File | Database | Export.   Choose the Format as CSV (comma separated).   Click Choose Fields.   Double click on the fields to be exported.   Click OK.   Specify the file path and filename to export to (e.g., c:\temp\ecco.txt).  Finally click OK to begin the export.

After the data is exported from ECCO, choose Tools | Import Records in GoldMine.   Choose Import a new file using an existing profile.  Choose ASCII File as the file type to be imported.   Click the Next button.   Highlight ECCO 3.0.   Browse for the TXT file.   Click the Next button.   Take note of the label names and their corresponding values.   Click the Next button.   A predefined mapping will appear.  Make sure that the label names that are displayed in the previous window are mapped to the proper GoldMine field.  Field mappings are added or modified to suit specific import needs.   Then click the Next button.  If the mappings were changed, they can be saved under another import profile name by clicking on the Yes radio button and indicating a profile name in the Profile Name field.  Finally click the Finish button.

To import ECCO Pro 4.0 data the ECCO Database must first be exported to a Comma Separated file with an extension of TXT.   After the data is exported from ECCO, choose Tools | Import Records in GoldMine.  Choose Import a new file using an existing profile.  Choose ASCII File as the type of file you are importing.  Click the Next button.  Highlight ECCO 3.0.  Browse for the TXT file.  Click the Next button.  Take note of the label names and their corresponding values.  Click the Next button.  A predefined mapping will appear.  Make sure that the label names displayed in the previous window are mapped to the proper GoldMine fields.  Field mappings can be added or modified to suit specific import needs.  Once this is done click the Next button.  If the field mappings were changed, they can be saved under another import profile name by clicking on the Yes radio button and indicating a profile name in the Profile Name field.   Finally click the Finish button.

NOTE:  Using the import ECCO 3.0 profile for an ECCO 4.0 contact database may cause an invalid page fault in Windows 95 on GMW32.EXE.

Maximizer

GoldMine has a predefined import profile for Maximizer for Windows.  The Maximizer Database must first be exported to a Comma Delimited file with an extension of TXT.  In Maximizer, this is accomplished by choosing File | Export.  Specify the file path and the filename of the file to export to (e.g., c:\temp\maximizer.txt).  Specify the Export Option as Comma-Delimited.  Click OK.  Double click on the fields to be exported.  Click OK to begin the export.

NOTE:  If you are having difficulties exporting the Maximizer fields, contact Maximizer for Technical Support.

After the information is exported from Maximizer, choose Tools | Import Records in GoldMine.  Choose Import a new file using an existing profile and ASCII File as the file type to import.  Click the Next button.  Highlight Maximizer for Windows.  Browse for the TXT file.  Click the Next button.  Take note of the label names and their corresponding values.  Click the Next button.  A predefined mapping will appear.  Field mappings can be added or modified to suit specific import needs.  Make sure that the label names that are displayed in the previous window are mapped to the proper GoldMine fields.  Then click the Next button.  To save the mappings under another profile name, click on the Yes radio button and indicate a profile name in the Profile Name field.  Finally click the Finish button.

To import Maximizer for Windows 95 data the Maximizer Database must first be exported to a Comma Delimited file with an extension of TXT.  This is accomplished by referring to the steps indicated earlier.   After the information is exported from Maximizer, choose Tools | Import Records in GoldMine.  Choose Import a new file.  Choose ASCII File as the file type to import.  Click the Next button.  Browse for the TXT file.  Click the Next button.  Take note of the label names and their corresponding values.  Click the Next button.  Here field mappings should be added to suit specific import needs.   Make sure that the label names that are displayed in the previous window are mapped to the proper GoldMine field.  Click the Next button.  The mappings can be saved by clicking the Yes radio button and indicating a profile name in the Profile Name field.  Finally click the Finish button.

TeleMagic

The TeleMagic Database must be exported to a Dbase (*.DBF) file.  In TeleMagic, this is accomplished by choosing File | Export.  Choose the Export all Contact Information dBase Format option.  Click Run.  Specify the file path and the filename of the export file (e.g., c:\temp\tm.dbf).  Click OK.   By default, TeleMagic will place this file in the main TeleMagic directory.

After the TeleMagic information is exported, choose Tools | Import Records in GoldMine.  Choose Import a new file and DBF File as the type of file you are importing.  Click the Next button.  Browse for the DBF file.  Click the Next button.  Take note of the label names and their corresponding values.  Click the Next button.  Here field mappings should be added to suit specific import needs.  Click the Next button.  The mappings can be saved by clicking the Yes radio button and indicating a profile name in the Profile Name field.  Finally click the Finish button.

Microsoft Outlook

The Outlook Database must first be exported to a Dbase (*.DBF) file.  In Outlook this is accomplished by choosing File | Import/Export.  Choose Contacts.  Click Next.   Choose dBase as the file type.   Click Next.  Specify the file path and the filename of the export file (e.g., c:\temp\outlook.dbf).  Click Next.  Finally click Finish to begin.

NOTE:  If you are having difficulties exporting Microsoft Outlook fields, contact icrosoft for Technical Support.

After the Outlook data is exported, choose Tools | Import Records in GoldMine.  Choose Import a new file. Choose DBF File as the file type to import.  Click on Next.  Browse for the DBF file.  Click the Next button.  Take note of the label names and their corresponding values.  Click the Next button.  Here field mappings should be added to suit specific import needs.  Click the Next button.  The mappings can be saved by clicking the Yes radio button and indicating a profile name in the Profile Name field.  Finally click the Finish button.

Lotus Organizer version 2.xx

GoldMine has a predefined profile for Lotus Organizer.  The Organizer Database must first be exported to an ASCII (*.txt) file.  In Lotus Organizer, this is accomplished by clicking File | Export.  In the "From Section" field, specify Address.  To specify the fields to export click Mapping.  Double click on the field to export.  Click the OK button.  Specify the file path and the filename for the export file (e.g., c:\temp\organize.txt).  Click the OK button to begin the export.

NOTE:  If you are having difficulties exporting the Lotus Organizer fields, contact Lotus for Technical Support.

After the information is exported from Organizer, choose Tools | Import Records in GoldMine.  Choose Import a new file using an existing profile.  Choose ASCII File as the file type to import.  Click the Next button.  Highlight Organizer 2.xx.  Browse for the TXT file.  Click the Next button.  Take note of the label names and their corresponding values.  Click the Next button.  Here field mappings can be added and modified to suit specific import needs.  Click the Next button.  If the field mappings have changed, they can be saved under another profile name by clicking on the Yes radio button and indicating a profile name in the Profile Name field.  Finally click the Finish button.

Day-Timer Organizer version 2.1

The Day-Timer Organizer Database must first be exported to an ASCII (*.txt) file.   In Day-Timer Organizer, this is accomplished by choosing File | Export Entries.  In the Export Type field, specify ASCII.  Specify which entries, modified since, and dated before options for the records to be exported.    Set the "field ordering for" field as Address.  To specify the fields to export, double click on the field underneath the Omit windowSpecify the file path and the filename for the export file (e.g., c:\temp\organize.txt).  Click OK to begin the export.

NOTE:  If you are having difficulties exporting the Day-Timer Organizer fields, contact Day-Timer for Technical Support.

After the Day-Timer Organizer information is exported, click on Tools | Import Records in GoldMine.  Choose Import a new file.  Choose ASCII File as the file type to import.  Browse for the TXT file.  Click the Next button.  Take note of the label names and their corresponding values.  Click the Next button.  Field mappings should be added to suit specific import needs.  Click the Next button.  The mappings can be saved by clicking on the Yes radio button and indicating a profile name in the Profile Name field.  Finally click the Finish button.

JANNA Systems

The JANNA Database must first be exported to an ASCII delimited (*.TXT) file.  In JANNA, this is accomplished by choosing File | Export.  Choose the Delimited Text File option.  Click Next.  Specify the file path and the filename of the export file (e.g., c:\temp\janna.txt).  Click Next.  Double click on the fields to export.  Click Next.  Do not place the field names in record number 1 because GoldMine will import that information as a record.  Choose No.  Finally click Finish.

NOTE:  If you are having difficulties exporting the JANNA fields, contact JANNA for Technical Support.

After the JANNA information is exported, click on Tools | Import Records in GoldMine.  Choose Import a new file.  Choose ASCII File as the file type to import.  Click the Next button.  Browse for the TXT file.  Click the Next button.  Because JANNA exports its data in a format where each field is not surrounded by quotes, it is necessary to click on Options and clear the entry in the Field Delimiter field.  Click the OK button.  Take note of the label names and their corresponding values.  Click the Next button.  Here field mappings should be added to suit specific import needs.  Click the Next button.  The mappings are saved under another profile name by clicking on the Yes radio button and indicating a profile name in the Profile Name field.  Finally click the Finish button.

Tracker version 2.0

The Tracker Database must first be exported to an ASCII (*.TXT) file.  In Tracker,  this is accomplished by choosing File | Export Data.  Highlight the option ASCII Delimited (tie_ascd).  Click OK.  Double click on the fields to export.  Click OK.  Specify the file path and the filename of the export file (e.g., c:\temp\tracker.txt).  Choose the specific options in the selected record window.  Finally click OK.

NOTE:  If you are having difficulties exporting the Tracker fields, contact Tracker for Technical Support.

After the Tracker information is exported, choose Tools | Import Records in GoldMine.  Choose Import a new file.  Choose ASCII File as the file type to import.  Click the Next button.  Browse for the TXT file.  Click the Next button.  Take note of the label names and there corresponding values.  Click the Next button.  Here field mappings should be added to suit specific import needs.  Click the Next button.  The mappings can be saved by clicking on the Yes radio button and indicating a profile name in the Profile Name field.  Finally click the Finish button.

 Starfish Software Sidekick 2.0

The SideKick Database must first be exported to a Database File (*.DBF) file.   In SideKick 2.0, this is accomplished by going to Tools | Export CardFile.   Choose the Source file you wish to export.   Specify the file path and the filename of the export file (e.g., c:\temp\sidekick.dbf).   Click Export.  Click Select All.  Finally click on OK.

NOTE:  If you are having difficulties saving the SideKick fields, contact Starfish Software for Technical Support.

After the Sidekick information is exported, choose Tools | Import Records in GoldMine.  Choose Import a new file.  Choose DBF File as the file type to import.  Click the Next button.  Browse for the DBF file.  Click the Next button.  Take note of the label names and their corresponding values.  Click the Next button.  Here field mappings should be added to suit specific import needs.  Click the Next button. The mappings can be saved by clicking on the Yes radio button and indicating a profile name in the Profile Name field.  Finally click the Finish button.

Franklin Quest Ascend 5.0

The Ascend Database must first be exported to  Comma Quote delimited (*.TXT) file.  In Ascend, this is accomplished by first choosing the Phone Address View.  Then choose File | Export.  Specify the file path and the filename of the export file (e.g., c:\temp\ascend.txt).  Specify comma quote delimited as the Format.  Highlight the fields to export.  Then click Add.  Click Select Names to select the names of the contacts to export.  Finally click Export.

NOTE:  If you are having difficulties exporting the Ascend fields, contact Ascend for Technical Support.

After the Ascend information is exported, choose Tools | Import Records in GoldMie.  Choose Import a new file.  Choose ASCII File as the file type to import.  Click the Next button.  Browse for the TXT file.  Click the Next button.  Take note of the label names and there corresponding values.  Click the Next button.  Here field mappings should be added to suit specific import needs.  Click the Next button.  The mappings can be saved by clicking on the Yes radio button and indicating a profile name in the Profile Name field.  Finally click the Finish button.

Microsoft Excel

Create an Excel spreadsheet where the first row contains the field names.  Make sure that there are no field names with spaces or special characters.  Then save the Excel Database into a Dbase (*.DBF) file.   In Excel, this is accomplished by going to File | Save as.   Specify the file path and the filename of the export file (e.g., c:\temp\excel.dbf).  Specify the file type as dBase III (*.DBF).  Click Save.  Often times when down Excel is closed it prompts to save the document again.  DO NOT save the document again.

NOTE:  If you are having difficulties saving the Excel fields, contact Microsoft for Technical Support, however, the following things should be noted as they have assisted GoldMine users with getting their Excel data imported in the past.

-         Globally change the cell formatting to General and resave the file.

-         Double-click the black lines between column headings in excel.  This should cause the columns to widen to encompass the widest possible value in the column.

-         Make sure that the first row in your database contains simple field names comprised of only numbers and letters.  Special characters such as #, & and + can adversely impact   your import procedure because they will be interpreted as dBase codes when the field data is analyzed by GoldMine during import.  Spaces in field names should also be avoided. 

-         Be sure to save the file in dBase 3 or dBase 4 format and, when prompted, do not allow Excel to apply it's own special formatting to the file -- which could cause it to be seen as a non-standard dBase file and adversely affect your import into GoldMine.

After the Excel information is exported, choose Tools | Import Records in GoldMine.  Choose Import a new file.  Choose DBF File as the file type to import.  Click the Next button.  Browse for the DBF file.  Click the Next button.  Take note of the label names and their corresponding values.  Click the Next button.  Here field mappings should be added to suit specific import needs.  Click the Next button.  The mappings can be saved by clicking on the Yes radio button and indicating a profile name in the Profile Name field.  Finally click the Finish button.

Microsoft Schedule +

To export from Microsoft Schedule +, select File | Export | Text.  The Schedule + export wizard will then ask you if you want to export appointments, To-Do List, Events or Contact List. Select Contact List. The wizard will then prompt you to choose the format in which to save the exported data.  Select the comma for the character to use between fields and the double quote character (") to surround the text fields.  This, should be the default.  Next, Schedule + will ask you if you want to export the data as a single line - choose NO.  On the same screen, the wizard will ask you if you want to export the field names as the first line of the exported file.  For this, choose YES.  Next, Schedule + will prompt you to choose which fields to export.  Add the fields you wish to export to the right hand window and remove those you don't want to be exported.  Finally, Schedule + will ask you for a file name to export the data to.  You may then click FINISH to export your data.

After the Schedule +  information is exported, choose Tools | Import Records in GoldMine.  Choose Import a new file.  Choose ASCII File as the file type to import.  Click the Next button.  Browse for the TXT file.  Click the Next button.  Take note of the label names and there corresponding values.  Click the Next button.  Here field mappings should be added to suit specific import needs.  Click the Next button.  The mappings can be saved by clicking on the Yes radio button and indicating a profile name in the Profile Name field.  Finally click the Finish button.
